Privacy & Data Policy
Last updated: April 2026
The Theo Project is committed to protecting the privacy of everyone who submits to our registry. This page explains exactly what information we collect, how we use it and how we protect it.
What we collect
When you submit to The Theo Project registry you are asked to provide information about your dog — including their breed, age, diagnosis, symptoms, treatment and outcome. You are also given the option to share your dog's story in your own words and to provide a contact email address for researcher follow up. All personal fields are clearly marked as optional.
What we do with your information
The data we collect is used solely to build a picture of MUE, SRMA and related conditions across a large number of cases. We publish aggregated findings — meaning patterns across all submissions — never individual identifiable cases. We share these findings openly on this website and with veterinary neurology researchers who may be able to use them to advance understanding of this disease.
We do not sell your data. We do not share your data with third parties for commercial purposes. We have no commercial interests of any kind.
Your contact email
Providing a contact email is entirely optional. If you choose to provide one it will only ever be used to allow a veterinary researcher to follow up directly with you about your dog's case. Your email address will never be published on this website or shared with anyone other than a verified researcher making a legitimate follow up enquiry.
Your dog's story
Your dog's story is only ever published on The Theo Project website if you explicitly select yes on the submission form. If you select no or prefer to remain anonymous your story will never appear publicly. If you change your mind at any time and would like your dog's story removed please contact us at thetheoproject@costa.ca and we will remove it promptly.
Photos
Photos are only published with your explicit permission. If you choose to share a photo it will only ever be used on The Theo Project website in connection with your dog's story.
Data security
Your submissions are collected via Google Forms and stored securely. We take reasonable steps to protect the information you share with us. However please be aware that no method of electronic transmission or storage is 100% secure and we cannot guarantee absolute security.
Your rights
You have the right to request access to the information you have submitted, to request corrections, or to request that your submission be removed from our registry at any time. To make any such request please contact us at thetheoproject@costa.ca and we will respond promptly.
